Access and Interpret Google Gemini Usage Reports in Google Workspace for Education

Google Gemini reports provide administrators with valuable insights into the usage of Gemini features within their organization. These organization-level and user-level reports offer detailed breakdowns of app usage, user activity, and license assignments, helping admins make informed decisions regarding Gemini's adoption and management. 

Admins can use the reports to track Gemini features' adoption, daily use, and license allocation. Analyze data to adjust license assignments and maximize the return on your Gemini investment.

Note: Reports are available for the last 28 days and display data only for licensed users

Using Gemini Reports

  1. Open the Admin Console.
  2. Navigate to Generative AI > Gemini Reports.
  3. Choose the Org-level usage or User-level usage.
  4. Use the Organizational unit and Group filter options, located at the top right of the page, to target specific OUs or groups.

  5. When running the User-level usage report you can search for specific users to see detailed usage statistics. Or filter for a specific app.

Reading the Org-Level Data Report

This report helps you understand the overall adoption of Gemini across your domain. Use it to identify the most utilized apps and ensure that licenses are assigned effectively.

This report provides a high-level overview of Gemini usage across your organization with these graphs:

  • Active Licensed Gemini Users: Shows how many users have actively used Gemini features in the past 28 days.

This report provides information on the activity of individual users:

  • Usage Intensity: Categories define users as high, medium, low, or zero usage based on their engagement with Gemini features.
  • Active Days: Shows how many days in the past 28 days a user has been actively using Gemini.
  • App Usage Breakdown: Displays how often each user interacts with specific apps supported by Gemini.

Best Practices for K-12 and Higher Education

  • K-12 Domain: These reports are primarily for admins, as most students likely won’t be assigned licenses. Use them to track staff usage.
  • Higher Education Domain: Reports can be filtered by staff, alumni, and student OUs or groups to monitor Gemini license allocations and usage.

Additional Considerations

  • Data Lag: The reports have a 24-hour delay.
  • Recent License Changes: Only the most recent user assigned a license will appear in the report.
  • Beta Features: The feature is still in beta and may evolve as updates roll out.
