Shared Drive Level Reports

Gopher for Drive's Shared drive level reports tab gives you access to the following reports:

  • Shared Drive Level: Generates a high-level report of the shared drives in the domain.
  • Shared Drives File: Using the Drive ID from the Shared Drives Report, generates a report on the files within the shared Drive based on size and/or file type.

Accessing Shared Drive Level Reports

To access Gopher for Drive shared drive level reports:

  1. Open a new Google Sheet.
  2. In the top menu, go to Extensions > Gopher for Drive > Launch Sidebar
  3. Click the Shared Drive Level Reports tab.

Running the Shared Drives Report

  1. From the Gopher for Drive sidebar, be sure the Shared Drive Level Reports tab is selected.
  2. Click Shared Drives Report.
  3. Click Load to Sheet.

    ColumnDescription
    Shared Drive nameThe name of the shared drive as it appears in the Admin console.
    Drive IDThe unique shared drive ID. This can be used to gather additional data about a specific shared drive.
    Created onThe date the shared drive was created.
    HiddenReports if the shared drive is hidden for users.
    Domain users onlyReports if the shared drive is only allowed to be accessed by users within the domain.
    Drive members onlyReports if data within the shared drive is only accessible to members of the shared drive.

Running the Shared Drives File Report

This report shows the file name, file size, file type, file creator, last modified, last modifying user, the date the file was created, the specific drive file ID, metadata such as file properties and labels (if applicable), and whether or not the file is in the trash.

  1. From the Gopher for Drive sidebar, be sure the Shared Drive Level Reports tab is selected.
  2. Click Shared Drives File Report.
  3. Using the Drive ID from the Shared Drives Report, enter the drive ID for each drive to include on the report in the field provided.
    Note: You can list up to 500 shared drive IDs at a time and the report will be sorted by File size with the largest at the top.
  4. Use the Search for files slider to select the size of files to be included. Only files larger than the selected amount of storage appear on the report. 
  5. By default, All file types are included in the report. Select a File type from the drop-down to pinpoint specific types of files. Options include Application, Audio, Image, Text, and Video.
  6. Click Load to Sheet.
