How to Filter Access Management Lists

Access management involves overseeing various entities, including roles, user collections, organizational unit (OU) collections, and designations. As these lists can grow, efficiently locating specific items becomes crucial for effective administration. This article explains how to leverage Access Management's filtering capabilities to refine your views and quickly find the information you need.

Understanding the Need for Filtering

Navigating large lists of access management items can be time-consuming, requiring users to scroll through multiple pages or adjust row display settings. The introduction of filtering addresses this by allowing you to narrow down these lists based on specific criteria, providing a more focused and productive experience.

Filtering Capabilities by Tab

The filtering options available are designed to help you quickly navigate your Access Management data. When a filter is applied, the results displayed will include all relevant Roles, User Collections, OU Collections, or Designations within their respective tabs.

Standard Filtering

  • Roles, User Collections, and OU Collections: On these tabs, you can filter your lists using the Name and Description fields.

Advanced Filtering

Roles, User Collections, and OU Collections: On these tabs, you can filter lists using the Description and Name fields.

  • Designations: This tab offers more granular control, allowing you to narrow down results by specific attributes, including:
    • Org Unit & Org Unit Collection
    • Role
    • User & User Collection

Step-by-Step Guide to Filtering

  1. Access the Desired Tab: Navigate to the Access Management section and select the tab (Roles, User Collections, OU Collections, or Designations) that contains the list you wish to filter.
  2. Initiate the Filter Process: Locate and click the Add Filter button. This action displays the available filtering options.
  3. Select Your Filter Type: Choose the field you want to filter by from the options provided. For instance, if you're on the Roles tab and want to find a role by its name, select Name.
  4. Enter Your Filter Information: In the field labeled starts with*, type the initial characters or the whole term you are searching for. Gopher for Chrome Premium will match items that begin with the text you enter.
  5. Apply the Filter: Click the Apply button. The list will instantly update to display only the items that match your specified criteria. A filter chip, showing the applied filter, appears next to the Add Filter button.
  6. Add Additional Filters (Optional): To refine your search further, you can repeat steps 2-5 to add more filters. 

Pro Tip: Filters stack in the order you add them. The first filter you apply is given top priority, and each subsequent filter further refines the resulting pool.

Updating a Filter

Need to tweak your view without starting over? You can modify an active filter directly from the top of your list:

  1. Click the Filter Chip: Click the specific filter chip you wish to change at the top of the list.

  2. Adjust Your Criteria: A menu or input field will reappear with your existing selections.

  3. Make Changes: Select new parameters or refine your search terms.

  4. Apply Changes: Once you’ve updated your selection, the list refreshes automatically to reflect your new criteria, keeping your workflow fluid and fast.

Clearing a Filter

To clear an applied filter and return to the full list view, click the X icon on the corresponding filter chip. Gopher for Chrome Premium removes the specific filter, and the list updates accordingly.

Navigating Your Filtered List

At the bottom of your list, you'll find handy controls to zip through your data:

  • Rows to Show Picker: Would you like to see more or fewer items on your screen? Use this picker to adjust the number of rows displayed: 10, 25, 50, or 100.
  • Count in Filter: Curious how many devices made the cut after your filters? The total count is displayed in the bottom bar, providing you with instant insight.
  • Page Selector: Seamlessly jump between pages of your list. Use the First, Previous, Next, and Last carats.
