Managing your Access Management configuration is a dynamic process. As your team or organizational structure changes, you will need to edit or delete existing Roles, User Collections, OU Collections, and Designations.
The process for editing or deleting any of these four components follows a simple, consistent workflow across the application.
General Workflow: Editing a Component
To modify an existing component (Role, User Collection, OU Collection, or Designation):
- Navigate to the List: Go to Administration > Access Management.
- Select the Category: Select the tab for the type of item you wish to edit (e.g., Roles or Designations).
- Open the Side Panel: Click on the name of the component in the list to open a side panel on the right-hand side of the page. This panel provides an overview of the component's details, including assigned permissions and a list of users or OUs in the collections.
- Enter Edit Mode: Within the side panel, click the Edit button.
- Make Changes:
- For Roles, OU Collections, or Designations: Manually update the name, description, or permissions.
For User Collections: You may update the user list manually or via CSV upload.
Note: If using a CSV to edit an existing collection, ensure you are using the single-collection format (Email only) rather than the 3-column bulk creation format.
- Save Changes: Click the Save button to apply your updates.
General Workflow: Deleting a Component
Warning: Deleting a Role will immediately remove the associated permissions from any users linked to that Role via a Designation. Deleting a Collection or a Designation will also immediately revoke the access defined by that link. Always confirm that no active users require the component before deleting it.
To remove an item (Role, User Collection, OU Collection, or Designation) from the system:
- Navigate to the Edit Screen: Follow steps 1 through 4 of the Editing workflow above to reach the open side panel for the specific item.
- Locate the Delete Button: Click on the Delete button at the bottom-left corner of the side panel.
- Confirm Deletion: Confirm the deletion to permanently remove the component.
