Edit Device Information, In-Cell Editing

The Device Search includes an integrated editing mode that allows you to manage device data directly within your search results. This allows you to make swift updates to your inventory data without leaving the main dashboard grid. In-cell editing is the ideal choice when you need to provide unique information for specific devices or manage a small group of devices that require different updates.

When to Use In-Cell Editing

  • Single Device Adjustments: Quickly update a specific detail for one machine, such as assigning a new Asset ID or adding a specific Note about a recent repair.
  • Variable Updates for Multiple Devices: Efficiently update several devices with different data in one session. For example, you may need to move five different laptops to five different OUs based on their new locations.

If you need to apply the exact same information (such as moving 500 devices to a single new department) to a large group at once, please use our Bulk Action to Edit Device Information. Or, to make changes to only one device, editable fields are available from the Device Summary.  

Which Fields Are Editable?

Editable fields are identified by an edit pencil icon located to the right of the column name. Click into any field in any of these columns to make edits. System-generated fields (such as Device Status or Last Checked) do not have an edit icon and cannot be modified. These fields rely on automated reporting directly from the device to ensure data accuracy.

When using in-cell editing, you can modify the following fields:

  • Annotated Asset ID: The asset identifier as noted by an administrator or specified during enrollment. Maximum length is 200 characters. Can be empty.
  • Annotated User: The user of the device, as noted by the administrator. Maximum length is 100 characters. It can be empty.
  • Annotated Location: The address or location of the device as noted by the administrator. Maximum length is 200 characters. It can be empty.
  • OU path: This field lets you move the device by changing the OU.
  • Notes: This field lets you record your actions—for example, the OU previous OU and the reason for moving a device. Maximum length is 500 characters. Empty values are allowed.
    • Because you can update multiple devices at once, the available space in the Notes field depends on which Update Method you choose:
      • Replace: You have the full 500 characters available to write a new note.
      • Append / Prepend: You can enter up to 500 characters minus the length of the longest existing note among your selected devices.

Activating the Editing Interface

By default, the table appears in a Read-Only state. To activate the editing mode:

  1. Navigate to Device Search.

  2. Click into any editable cell, indicated with the pencil icon (such as OU Path, Asset ID, Annotated User, Annotated Location, or Notes).

How to Modify and Save

  1. Enter Data: Type your changes into any of the blue-highlighted cells, or, for OU Path, select from the drop-down.

  2. Batch Updates: You may update as many rows and columns as needed across the current page.

  3. Confirm Changes: Once finished, click the Save changes button located at the top center of the screen.

  4. Discarding Changes: If you need to revert your edits, click Cancel. This will clear your unsaved changes and return the columns to their standard white background. To discard a change on just one specific cell, use the individual Undo icon located on the right edge of that cell instead.

How to Undo an edit

  1. Commit an Edit: Type your change into an editable cell and press Enter (or select a new path from the OU Path drop-down). The cell background will turn light gray to indicate it has been modified.  

  2. Locate the Undo Icon: Look at the right edge of the modified cell. A small, circular Undo arrow icon will appear.

  3. Revert the Change: Click the Undo icon.

Important Considerations

  • Revert to Original: If you edit the exact same cell multiple times in a row during a session, clicking the undo icon will revert the cell all the way back to its original value from the start of your session, not just the previous keystroke.

  • Visibility: The undo icon will temporarily be hidden while you are actively typing in a cell or while your changes are being saved. It will reappear as soon as an inline edit is committed or if a save fails.

  • Filtered Views: If you are using the Show changes filter to view only modified rows, clicking the undo icon will immediately remove that row from the filtered view as it no longer contains pending changes. If you undo the very last modified cell on the grid, the filter will automatically turn off and display all rows again.
