Bulk Update Existing Users’ Properties & Attributes

The Update properties & attributes workflow lets you preview and push Google Workspace user updates from any of the following color-coded column groups, as well as for enabled, custom-defined user attributes on your domain.

  • Basic information

    • Last name
    • First name
    • Primary email address
  • Properties

    • Org unit path
    • Suspended
    • Archived

      Caution: Unarchiving a user, changing the archive column from TRUE to FALSE, will reapply a Fundamentals license if one is available. If a Fundamentals license is not available, the unarchive will fail.

    • Include from global contact directory
    • Force pw change at next login
  • Contact information 

    • Phone Number
    • Address
  • Employee Details

    • Organization name
    • Employee type
    • Building ID
    • Floor Name
    • Floor Section
    • Employee ID
    • Employee title

You can stage update jobs using either of the following two approaches. Both approaches operate only on the visible users in the Sheet. You should use Sheets Filters to reduce your update to only those users requiring an update.

Update Method 1: From Difference With Current Admin Console Values

This method creates a preview of all changes based on the difference between the current Admin console values and the values in the Sheet. 

Note: This method can be very slow to load when working with large sets of 1,000 or more users. 

  1. Click the Bulk User Actions tab of the sidebar.
  2. Click Update properties & attributes.  This will open a workflow stepper.
  3. Review the properties and attributes that will be edited.
  4. Click Next.
  5. Select the From difference with current admin console values as the staging method for the update.

  6. Click Next. A preview of changes opens.
    The preview and application of updates are performed using a cross-reference between the current values of each field in the Google Workspace Admin panel and those in the Sheet. The preview of changes can be viewed as a list by attribute or per user.
    • List preview: This is the default view. You can filter this list by checking/unchecking a field in the left column.  For instance, unchecking the checkbox next to Suspended would remove that action from being staged, but the Google Sheet information would not be changed.

    • Per-user granular preview: Click on a user. Setting the toggle in the upper-right corner reveals a per-user detailed view of the changes to be applied.

  7. Click Run Bulk Actions.

Update Method 2: Skip Difference Analysis

This method lets you select which Sheets columns you want to push to the Admin console without providing any preview of the differences.  This method is faster and recommended for larger jobs, provided you are confident in your changes.

  1. Click the Bulk User Actions tab of the sidebar.
  2. Review the properties and attributes that will be edited.
  3. Click Next.
  4. Click Update properties & attributes.  This will open a workflow stepper.
  5. Select the Skip difference analysis as the staging method for the update.

  6. Click Next. A preview panel opens.
  7. Select the Sheet columns to include in the update.
