Permissions Breakdown and Definitions

Little SIS makes it possible for users to be assigned administrative powers and insights over defined sets of classes in Google Classroom. Below, you will find all permissions with descriptions of each.

Permissions related to classes

Superpower Description
View & export data from Classroom Explorer

Without this permission, users cannot access any of the Classroom Explorer features within Little SIS. The Classroom Explorer is a filterable grid that includes columns for most high-level data about classes in Google Classroom, and allows for inspection of individual class information, as well as individual and bulk actions on selected classes depending on a user's permissions.

The classes that are visible to a user in the Classroom Explorer are limited to the school(s) or access filters they have been assigned in their user profile by a super administrator.

Delete PROVISIONED and DECLINED classes

For Google Workspace domains that provision Google Classroom classes from their SIS, classes created for teachers remain in a PROVISIONED state until the teacher accepts them. A DECLINED class is a provisioned class for which a teacher chose not to accept the invitation.

Deleting old PROVISIONED and DECLINED classes from your Google Workspace domain can be a useful and important action in preparation for a new school year, to reduce end-user confusion. This action should be performed with care by a user who knows what they are doing!

Note: Little SIS does not permit deletion of ACTIVE or ARCHIVED classes as a precaution against the mass data destruction of teacher lessons, activities, and student records. Our advice for clearing away unused ACTIVE classes is to archive them

Refresh metadata (Announcements, Posts, Topics, etc.) Certain fields or associated records on a class, such as Announcements, Posts, course state, course name, etc.) may not always be kept up to date within our databases. This permission allows the end-user to manually initiate a refresh of data on one or more classes from the Classroom Explorer.
Archive ACTIVE classes

Frequently teachers will neglect to archive their active Google Classroom classes at the end of a school year, or a teacher may have left the district and had their account suspended, leaving behind active classes. Students who are enrolled in active classes continue to have access to the features like the ability to post comments or unsubmit/resubmit assignments, which creates unnecessary risk. Moreover, these old classes continue to display in the student's list of classes via the Classroom web interface and mobile app, creating confusion and an unnecessary distraction.

As a result, it is generally a good practice for administrators to archive ACTIVE Google Classroom classes on their domain that are no longer in use. Using the Classroom Explorer to filter and bulk select and archive classes by timeframe tag, last assignment date, or last update date can help provide context on how long ago these classes were last used. When a class has been archived by Little SIS, notifications can be sent to teachers.

Update Explorer tags (e.g. School, Timeframe, general tags) Tags can be manually updated/changed within the Classroom Explorer, either one class at a time or in bulk. Because School tags are often used to define end-user access to classes within the Classroom Explorer, and Timeframe tags may impact all users' reporting metrics, we recommend that this permission be granted only to users who understand these impacts on end-users.
Allow user to join class without notification Enabling this feature will mean that, if you also grant users permission to join Google Classroom classes as students or co-teachers, they will be able to opt-out of sending a notification to the teacher when they join.

 

Permissions related to teachers

Superpower Description
Join class as a co-teacher Allows the user to add themselves as a co-teacher to any Google Classroom class to which they have access within the Classroom Explorer. By default, users are required to send a notification to the teacher letting them know the change has been made.
Remove co-teachers from classes Allows the user to remove co-teachers from any Google Classroom class to which they have access within the Classroom Explorer. By default, users are required to send a notification to the teacher and the co-teacher being removed letting them know the change has been made.
Add co-teachers to classes Allows the user to add co-teachers from any Google Classroom class to which they have access within the Classroom Explorer. By default, users are required to send a notification to the teacher and the new co-teacher letting them know the change has been made.
Change Google Classroom primary teacher Allows the user to change the primary teacher for any Google Classroom class to which they have access within the Classroom Explorer. By default, users are required to send a notification to the teacher and the new primary teacher letting them know the change has been made. When this action is performed, the old primary teacher is also kept in the class as a co-teacher.

 

Permissions related to students

Superpower Description
Join class as a student Allows the user to add themselves as a student to any Google Classroom class to which they have access within the Classroom Explorer. By default, users are required to send a notification to the teacher letting them know the change has been made.
Email join code with invitation message to users Allows the user to send an email to other users with a custom note that includes the join code(s) for one or more of the Google Classroom classes to which they have access within the Classroom Explorer.
Add students Allows the user to direct-add students to one or more of the Google Classroom classes to which they have access within the Classroom Explorer, with optional notification to the students.
Remove students Allows the user to remove students to one or more of the Google Classroom classes to which they have access within the Classroom Explorer, with a required notification to the teacher and the students who have been removed.
Remove students without email notification Allows the user to remove students to one or more of the Google Classroom classes to which they have access within the Classroom Explorer, with optional notification to the teacher that the students have been removed.
View student details Allows the user to access the Student Explorer and lookup student history and activity.
View & manage student collections Allows the user to create collections in Student Explorer.

 

Permissions related to reporting

Superpower Description
View all reports (includes new releases) Allows access to all reports. Data within the reports is limited to only those classes accessible based on schools and access filters assigned to the user.
View roster size analysis Allows access to the filterable roster size histogram. Data within the reports is limited to only those classes accessible based on schools and access filters assigned to the user.
View classwork analysis A granular view of all assignments given in classes visible to the user. Reports are broken down into three views: by teacher, by course, or by school.
View class activity analysis This report doesn't exist yet but will offer a filterable, aggregate visualization of all teacher actions taken in classes visible to the user.
View individual teacher summary/timeline This report doesn't exist yet but will offer a filterable, timeline view of all activities and actions taken by a single teacher within their Classroom classes.
View roster and teacher changes A filterable, timeline/stream view of all roster and teacher change events broadcast from Google. Note that this means that roster and teacher changes performed manually by end-users in Classroom will appear in the same way as changes performed by API (either via Little SIS for Classroom or Little SIS Sync Agent).
View teacher analysis A filterable, summary view of all teachers within Google Classroom, with counts of total classes, empty classes, 1-student classes, >1 student classes, co-teacher count, and count of classes with guardians enabled.

 

Permissions related to Little SIS administration

Superpower Description
View admin audit logs To ensure transparency and accountability, Little SIS for Classroom maintains detailed logs of all user actions taken within the app. This permission allows a user to explore a filterable grid of these actions.
Manage Little SIS users, roles, and access filters Allows the user to create and edit user accounts in Little SIS for Classroom, create and edit roles, and modify and assign Schools and Access Filters.
View Little SIS Sync Agent information Coming soon, for Little SIS for Classroom domains that also use our Little SIS Sync Agent, this permission allows the user to view sync history and access sync logs from within the Little SIS web interface.
Manage Little SIS timeframe, school, and general tags Allows the user to create and modify Timeframe, School, and general tags from the Administration section of Little SIS. Because School tags are often used to define end-user access to classes within the Classroom explorer, and Timeframe tags may impact all users' reporting metrics, we recommend that this permission be granted only to users who understand these impacts on end-users.
Access Little SIS Premium Sync Allows the user to access Little SIS Premium Sync and its features.
